Before

The physical work ended. The second shift began.

After each visit, the operator still had to select the right record, upload evidence, find activities, record outcomes, enter notes and quantities, prepare invoice entries and remember outstanding dates or approvals.

Each step was small. Repeated across a busy week, it created several hours of evening administration and delayed otherwise completed work from becoming ready to invoice.

What changed

Evidence and one plain-English instruction now start the closeout.

The operator still reviews the scope, calls the resident, performs the trade work, decides what happened and captures genuine evidence.

After the visit, the operator sends the evidence and a short instruction. The operations layer verifies the exact job and live state, follows the established workflow, updates only the authorised records, prepares permitted invoice entries and reads the system back to prove the result.

Faster closeout and fewer corrections

Routine closeout fell from 10–20 minutes to under one minute of attention. Corrections fell from several each week to approximately one to three per month.

Controlled execution with readback

The workflow verifies its target, constrains permitted actions, prevents duplicate writes, stops on ambiguity and checks the external system after every material change.

Human control

Automation did not get the deciding vote.

Resident communication, site judgement, physical work and evidence capture remain human responsibilities. When the target, address, activity or operational state is unclear, the workflow stops rather than improvising.

That boundary is the point: automate repeatable administration while preserving the judgement that belongs with the person doing the work.
